Campground - Reservation Dashboard

Written by Andy Hornbeak

The Campground Dashboard is the module's home screen and the sheet your front desk works from each morning. It shows who is due to arrive and who is due to leave on a chosen day, side by side, and lets you check guests in and out directly from the list.

This is an operational worksheet, not a charts-and-figures dashboard. If you are looking for occupancy percentages or revenue analysis, use the Campground Occupancy report or an Analytics dashboard instead.

Why This Screen Matters

Arrivals and departures are the two moments where a stay can go wrong in front of the guest — a space that is not ready, a contract that was never signed, a balance nobody noticed. Having both lists on one screen, with those warnings shown as icons, is what lets the desk catch problems before the guest reaches the window. Use it to:

  • Work the day's arrivals and departures without searching for reservations one at a time

  • Spot outstanding balances and unsigned agreements before check-in

  • Check guests in and out, individually or from the row's action menu

  • Look ahead to a future day to plan staffing and space turnover

Opening the Dashboard

Select Campground in the left navigation pane. The Dashboard loads automatically as the module's first screen.

The Two Panels

The screen is split into two lists for the selected day:

  • Arriving — reservations whose arrival date falls on the selected day.

  • Departing — reservations whose departure date falls on the selected day.

Each row carries the same columns:

Column

What It Shows

Booking

The booking number. Click it to open the reservation, if your role allows advanced reservations.

Customer

Who is staying, along with the rig on the booking and its recorded length, width and height

Product

What was booked — the site type or rate being charged

Space

The space assigned to the stay

Status

Where the reservation stands, including any custom status your park has configured

To the right of Status sit three narrow indicator columns with no heading. They are the most useful part of the row:

  • Balance — flags a stay that still owes money

  • Special request — flags a request captured on the booking, so the desk can read it before the guest arrives

  • Contract status — flags an agreement that has not been signed

Choosing the Day and Narrowing the View

The bar above the lists controls what both panels show:

  1. Date — opens a calendar. Pick any day, past or future, to see that day's arrivals and departures. The field reads "Today" until you move off the current date.

  2. Prev and Next — step back or forward one day at a time.

  3. Booking Type — narrows both lists to a single booking type, if your park uses more than one.

Note: The Booking Type list only offers booking types belonging to the Campground module. A booking type used by your marina or booking operation will not appear here, and its reservations will not show on this dashboard.

Checking Guests In and Out

Hover a row and open the ⋯ Other Actions menu at the right-hand end. It offers:

  • Check In or Check Out — the button changes depending on where the reservation currently stands

  • Any custom statuses your park has set up, so you can move a stay to your own workflow state

  • Edit — opens the reservation for changes

Checking in, checking out, and editing are each controlled by separate role permissions. If an action is missing from the menu, your role does not include it — your administrator can enable it. Seeing the dashboard does not by itself grant the ability to check anyone in.

If a Reservation Is Not Listed

Both lists are filtered, so a missing row usually has a straightforward explanation:

  • Cancelled stays never appear. The lists only include reservations that are Reserved Online, Reserved, Confirmed, Checked In, or Checked Out.

  • The date has to match exactly. The Arriving list keys off the arrival date and the Departing list off the departure date — a stay that runs across the selected day, arriving before it and leaving after it, appears on neither.

  • A Booking Type filter may be applied. Clear it to see everything for the day.

Reservations you have already processed stay on the list rather than disappearing, because Checked In and Checked Out are both included. That is deliberate — it lets you see the whole day's work and what is left, rather than a list that empties as you go.
