An accounts receivable aging report shows how much each customer owes you and how overdue each of those balances is. Sharper ships this report already built — it is just not called "aging" anywhere in the product. In Sharper it is the Sharper Customer A/R report, it appears on your Reports dashboard as Customer A/R, and its report type is Customer List under Reports → CRM. If you have been searching for "A/R aging" and finding nothing, this is the report you want.
Where to find the report
There are two ways in, and they reach the same data.
Go to Reports → All and look under the CRM heading for Customer A/R. This is the pre-built report that comes with Sharper.
Or go to Reports → CRM → Customer List to work with the report type directly and choose your own columns.
In a saved report list, each report shows its Name, Type and Created By, and you produce the results by clicking Get Report.
The balance columns
The Sharper Customer A/R report carries these columns. The five balance buckets are the aging portion, and Balance is the customer's total.
Column | What it contains |
Customer Name | The customer the balance belongs to. |
Cust Email and Cust Phone | Contact details, so you can collect straight from the report. |
Current Balance | Amounts that are not yet due. This is money owed but not late. |
30 Day Balance | Amounts 0 to 30 days past the due date. |
60 Day Balance | Amounts 31 to 60 days past the due date. |
90 Day Balance | Amounts 61 to 90 days past the due date. |
Over 90 Day Balance | Amounts more than 90 days past the due date. |
Balance | The customer's total outstanding balance — the five buckets added together. |
Cust Active | Whether the customer record is still active, so you can spot balances left on inactive customers. |
The buckets age on the due date, not the invoice date
This is the part that is most often misread, so it is worth being exact about it. Sharper measures each open amount from its due date, not from the date the invoice was created.
Note: Current Balance does not mean "invoiced this month". It means not yet due. And 30 Day Balance does not mean "invoiced within the last 30 days" — it means 0 to 30 days past due, so everything in it is already late.
An example: an invoice issued on 1 March with payment terms that make it due on 31 March will sit in Current Balance for the whole of March. On 1 April it moves into 30 Day Balance. It reaches 60 Day Balance once it is 31 days past 31 March.
Two consequences follow from this:
Anything outside Current Balance is overdue and is fair game for a collection call.
If your invoices carry long payment terms, a large Current Balance is normal and is not a collections problem.
The report includes open invoices and open statement charges, and it nets off payments that have been received but not yet applied to anything — so a customer who has paid in advance can show a negative figure.
Showing only the customers who owe you
The report lists your customers, including those with nothing outstanding, so a full run has many zero rows. To focus on who actually owes you:
Sort the results by the Balance column so the largest balances come to the top.
Or make your own version: take a copy of the report, and in the Query builder on the report form add a rule that Balance is greater than 0. Save it, and every run from then on shows only customers with an outstanding balance.
Use Columns in the Filters panel to hide columns you do not need before exporting.
Running a backdated snapshot for month-end
The Customer A/R report ages balances as of today. For a month-end or year-end figure you need the balances as they stood on a past date — for example what was outstanding on 30 June, ignoring payments received in July.
For that, go to Reports → CRM → Customer As Of Date. It carries the same five balance buckets plus Balance, and it adds an As Of Date field in the Filters panel. Set As Of Date to your period-end date and click Get Report.
Use Customer A/R for day-to-day collections and Customer As Of Date for anything you have to tie to a closed period. A report run today will not reconcile to last month's books.
Seeing the invoices behind a balance
The bucket columns give you totals, not the individual documents. When a customer disputes a figure and you need the transactions that make it up, go to Reports → CRM → Balance Details. It carries the same balance buckets broken out at transaction level, so you can see which specific invoices and statement charges are sitting in Over 90 Day Balance.
You can also open the customer in CRM → Customers and review their transactions directly.
Exporting and reusing the report each month
Click CSV Export or Excel Export at the top of the results to hand the figures to your accountant or work them in a spreadsheet.
Use Subtotal in the Filters panel to group and subtotal the results by a field, which is useful when you want balances broken down rather than one long list.
To keep your own version one click away, save it and switch on Dashboard on the report form so it appears under Reports → All. Enter a short Dashboard Caption — that caption is the name shown on the dashboard. Switching on Favorite lists it in the Favorites section instead.
Whenever a Sharper checklist or a colleague tells you to "run the A/R aging", this is the report they mean.
