Reports - CRM Customer As Of Date Report

The Customer As Of Date report is the Customer List rewound to a date you choose. It shows each customer's balance and aging as they stood on that date, which is what lets you reproduce a month-end or year-end debtors position long after the fact.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. Why This Report Matters

Debtor balances move constantly. Once a customer pays, the fact that they were 60 days overdue at the end of last quarter disappears from every live report — but that is exactly the figure your accountant, auditor, or board pack needs. This report is the only one that can give it back to you. Use it to:

  • Reproduce an aged debtors report for a month or year end that has already passed

  • Provide audit evidence for a receivables balance at a reporting date

  • Compare debtor positions across period ends to see whether collections are improving

  • Reconcile a receivables figure in your accounting system back to the customers behind it


The As Of Date Is Required

This report behaves differently from every other CRM report on the run screen: it asks for an As Of Date, and that date drives the entire result. Balances and aging buckets are calculated as though you were standing on that date.

The As Of Date is required. Without it the report produces nothing at all — an empty result here almost always means the date was left blank, not that there were no balances. If you run it and get nothing back, check the run screen before anything else.

Aging is measured relative to the As Of Date too. An invoice that fell due two weeks before the date you chose will sit in the 30 Day bucket, regardless of how overdue it is today.

The column list is identical to the Customer List report, so anything you can build there you can build here — the only difference is the date the figures are calculated at.


Building a Customer As Of Date Report

  1. Go to Reports → CRM → Customer As Of Date in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Month End Debtors."

  4. Add the columns below from the Available panel.

  5. Set Subtotal to Balance.

  6. Turn on All Outlets if you report receivables company-wide.

  7. Click Save, then Get Report — and enter the As Of Date before running.


Recommended Columns

When the customer last stayed with each part of the operation

Note: Save this as a report with a name that does not mention a specific month — the As Of Date is entered when you run it, not stored on the report. One saved "Month End Debtors" report re-run with different dates is easier to maintain than twelve near-identical saved reports.


Useful Filters

  • Debtors only: Field Balance, operator >, value 0. Without it, every customer with a zero balance is included.

  • Overdue only, excluding not-yet-due amounts: Field Over 90 Day Balance, or the bucket you care about, operator >, value 0.

  • One customer group: Field Cust Type, set to the type.

  • Active accounts only: Field Cust Active, set to Yes.

  • Material balances only: Field Balance, operator >, entering a threshold, to keep an audit schedule to a readable length.

Running this at each period end and keeping the export is worth doing as a habit — it is much easier than reconstructing the position later, and it gives you a consistent series to compare across periods.
