The Point of Sale module in Sharper is where you ring up walk-in sales — a ship’s store, fuel dock counter, pro shop, snack bar, or full-service restaurant. This guide walks the entire setup from an empty module to a working register, in the order the system requires. Each step depends on the ones before it, so work through them in sequence.
Setup is done by an administrator. If you run more than one outlet, read the note below before you begin.
Before You Start
Your Sharper implementation team completes a few things before the module becomes available to you. You do not configure these yourself.

Important: Point of Sale setup is outlet-specific. Registers, product grids, modifier groups, POS settings, prep stations, table maps, and products all belong to the outlet you are viewing when you create them. If you operate more than one outlet, confirm you are in the correct outlet before you start, and repeat the setup for each outlet that needs its own register. Sharper warns you when you switch outlets while on one of these screens.
This guide covers both retail counters and table-service food and beverage. Steps that only apply to table service are marked, and retail operators can skip them.
Step 1: Confirm Your Outlet Is Ready
Point of Sale draws its tax and customer defaults from the outlet. Two of those defaults must be set before you can create a product, so start here.
Go to Company Settings → Outlet Defaults and open the General section.

If you skip this step: opening a Point of Sale product shows the message “Outlet settings and reservation settings are not set. Please configure before proceeding.” Set Tax Rate and Default Reservation Customer and the screen unlocks.
While you are on this screen, confirm the module is not hidden. In the Hide Modules section, Hide POS must be switched off. If it is on, the Point of Sale menu will not appear for this outlet even though the module is enabled on your account.

If you sell gift cards, also complete the Gift Card section here (Product, Journal Debit Account, and Journal Credit Account). You will need the gift card product from Step 7 first, so you can return to this section later.
Payment terms and auto-settle behavior for Point of Sale are also set in Company Settings → Module Defaults, under the Point of Sale section: POS Payment Term and Payment Auto Settle.
Step 2: Set Up Your Accounting Basics
Every product you sell must post to a general ledger account and carry a tax code. Create these before you create products, because the product form will not save without them.
General ledger accounts
Go to Accounting → Chart of accounts and click Add New.

You need at least an income account for sales revenue. If you plan to track stock quantities, you also need a cost of goods sold account and an asset account, because products of an inventory item type require all three.
Tax codes and tax rates
Go to Accounting → Settings and use the Tax Code, Tax Rate, Tax Rate Group, and Tax Agency tiles. At minimum, create the tax agency you remit to, a tax rate for it, and a tax code that products can reference. A tax code has a Tax Code Name and a Taxable switch. Turn Taxable off for the code you apply to non-taxable items.

Units of measure
Units of measure let you sell by each, by pound, by gallon, or by any other unit. Go to Accounting → Settings → Unit Measures and click Add New.

Discounts
If your counter gives discounts, create them now at Accounting → Settings → Discounts. A discount needs a Discount Name, Tax Code, Type, Amount, and Account. You can also limit it to specific products using Eligible Products, or set it to apply automatically.
Step 3: Add Your Printers
Printers must exist before you can create a prep station or finish a register, so add them next. Go to Company Settings → Printers and click Add New.

Add one receipt printer for each register you plan to build. For table service, also add a service printer for each kitchen or bar station that needs its own tickets.
The receipt printer is also what opens the cash drawer, because the drawer is triggered through the printer. A register with no receipt printer assigned cannot open a cash drawer from the terminal.

Step 4: Review Your Payment Methods
Payment methods are the tender types your register offers. Sharper ships with the common ones already in place, and you can add your own.
Go to System Settings → Payment Methods to see the list. Each row shows whether the method is enabled, whether it can be used for payments, whether it can be used for refunds, and whether it is custom.
Built-in payment methods are read-only. You can enable or disable them, but you cannot rename them. Only methods you create yourself can be edited.
Creating a custom payment method
Click Add New. A method you create is custom, so it shows the full set of fields.

You can enable or disable methods in bulk by checking rows in the list and using the buttons above it.
What each tender type needs

Your payment processor and your card terminal are set up by your Sharper implementation team. Once that is done, the card reader appears in the payment device list on the register form in Step 11, and you simply select it.
Step 5: Configure POS Settings
These settings control how the terminal behaves across the whole outlet, so set them once before you build registers. Go to Point of Sale → Settings → POS Settings. No field here is required, and these settings apply to the outlet you are currently viewing.

Presets and suggestions
Three groups of four percentage fields let you preload the buttons your staff and customers use most often.

Scanner
If you use a barcode scanner, set Validation Delay — how long Sharper waits to be sure a scan is complete. The default is 5000 milliseconds.
Note: Validation Delay must be between 1000 and 10000 milliseconds. A value outside that range prevents the page from saving. A short delay can cause failed reads.
Step 6: Build Your Product Structure
Products reference categories, modifier groups, and prep stations, so create those first. Everything in this step lives under Point of Sale.
Product categories
Categories group your products for reporting and for building grids. Go to Point of Sale → Settings → Product Categories and click Add New.

Prep stations route ordered items to the kitchen or bar that makes them. Skip this if you run a retail counter with no food preparation. Go to Point of Sale → Settings → Prep Stations and click Add New.

A product can be assigned to more than one prep station when more than one station works on it.
Modifier prefixes — table service only
Prefixes are the short words staff add to a modifier: no, extra, light, side, sub. Go to Point of Sale → Settings → Modifier Prefixes and click Add New.

Modifier groups — table service only
A modifier group is a reusable set of choices, such as cooking temperature or bread type. Go to Point of Sale → Modifier Groups and click Add New. Give the group a Name, then add the individual modifier options to it.
The group name organizes choices for staff and never prints. The individual modifier options are what print on receipts and kitchen tickets.
Price adjustments — optional
Price adjustments are add-on charges you can attach to products, such as a core charge or an environmental fee. Create them at Point of Sale → Settings → Price Adjustments, and group them at Point of Sale → Settings → Price Adjustment Groups. An adjustment needs a Name, Item Type, Tax Code, the accounts matching its item type, a Price, and a Calculation.
Step 7: Add Your Products
Products are the things you sell. Go to Point of Sale → Products and click Add. The product form has three steps: General, Modifiers, and Prep Stations.
General

Note: Changing Item Type clears any accounts you have already selected, so set the item type before you choose accounts.

Modifiers — table service only
On the Modifiers step, click Add Modifier Section for each set of choices the product needs. A section has a Title, an optional Kitchen Abbreviation, a Min Qty and Max Qty, and a linked modifier group. Use Load Group to copy a group’s options into the section, or Link Group to keep the section tied to the group so later changes flow through.
Note: If any section has a Min Qty above zero, Always Modify switches on automatically and cannot be turned off, because the customer must make a choice before the item can be sent.
Prep Stations — table service only
On the Prep Stations step, select every station that works on this product. An item with no prep station will not print a ticket unless the register type has Send All Products switched on.
Stock on hand
For products of an inventory item type, set opening quantities at Point of Sale → Inventory. Sales decrement stock automatically. You can adjust quantities by hand, review the adjustment history, and export or import inventory in bulk. Access to this screen is switched off by default and is granted through a role. See POS - Inventory for detail.
Step 8: Lay Out Your Product Grid
A product grid is the button layout your staff taps at the terminal. Products must exist before you can place them, and a grid must exist before a register can be saved. Go to Point of Sale → Product Grids and click Add.
Enter a Name for the grid. This is the only required field.
Click Add Group to create a page of buttons, name it, and click OK. Groups are your top-level tabs, for example Drinks, Food, or Merchandise.
Click Add Group on an existing group to nest a subgroup inside it. Groups can nest as deep as you need.
Click Add Product on a group, search for the product, and click OK. Only active products appear in the search.
Drag rows to set the order buttons appear in at the terminal.
Click a group’s image to upload a tile picture for it.
Click Save.
The group name is what your staff see on the terminal. The grid name is only used when you assign the grid to a register, so name your groups the way you want them read at the counter.
Use Expand All and Collapse All to work through a large grid. To remove something, use the three-dot menu on the row and choose Remove for a group or Delete for a product.
Step 9: Draw Your Table Map — Table Service Only
Skip this step entirely if you run a retail counter. A table map gives servers a visual floor plan to open and find checks on. Go to Point of Sale → Settings → Table Maps and click Add New.
Enter a Name for the map, for example Main Dining Room or Patio.
Optionally upload a Background floor plan image. PNG, JPG, or JPEG only.
Click New to add a table.
Give the table a Name and pick an Icon.
Set Pos X and Pos Y to place it, and Width, Height, and Rotation to size and turn it. All five are required.
Optionally switch on Open New Order By Default so tapping the table starts a check, and Priority Print to push its tickets to the front of the queue.
Repeat for every table, then click Save.
You assign servers to specific tables later, on the user record in Step 12.
Step 10: Create a Register Type
A register type is a behavior template. It decides whether a register acts like a quick retail till or a full table-service point of sale. Create one type for each style of service you run, then reuse it across registers. Go to Point of Sale → Settings → Register Types and click Add New.

Note: Check Interval will not accept a value below 10 seconds. This interval also determines how long Sharper waits for terminals to log out when you close the register.

Step 11: Create the Register
The register ties everything together. It needs the register type from Step 10, the product grid from Step 8, and the receipt printer from Step 3. Go to Point of Sale → Registers and click Add New. The form has three steps: General, Payment Methods, and Users.

Note on Device Register: switching this on reconfigures the register for an all-in-one payment device. It limits the register to a single payment device, restricts payment types to cash and device only, and clears the receipt printer. If no enabled payment device exists yet, Sharper shows “Device Register Configuration Error: Please configure and enable a payment device prior to setting up register” and switches the option back off. Leave it off for a standard counter register with its own printer.
Payment Methods
Select every payment method this register should offer. If any payment devices are registered for your account, you also select the device or devices attached to this register here.
Include Cash if this register has a cash drawer. Selecting cash is what makes the Cash Drawer button appear at the terminal and what prompts for an opening cash count when the register is opened.
Users
Select the users allowed to sign in to this register. A user who is not selected here cannot access the register even if their role permits Point of Sale access. If you have not created your staff users yet, save the register now and return to this step after Step 12.
Click Save. Sharper will not save the register until Name, Register Type, Product Grid, Default Customer, Auto Logout Time, and Receipt Printer are all complete.
Step 12: Give Your Staff Access
Access to Point of Sale comes from three things working together: the role assigned to the user, the user’s PIN, and the register’s user list. All three must be in place.
Build the roles
Go to System Settings → Roles and create or edit a role for your Point of Sale staff. Point of Sale permissions are grouped under two headings.

Point of Sale | Access to the module and its back-office screens: dashboard, registers, products, product grids, modifier groups, inventory, and settings. This is what a manager who builds and maintains the setup needs. |
POS Terminal | Access to the selling screen itself: clocking in and out, taking orders, sending items, voiding, applying discounts, issuing refunds, opening the cash drawer, and accepting payments. This is what a cashier or server needs. |
Grant back-office access sparingly. A cashier normally needs POS Terminal access only. Two permissions are worth calling out because their absence blocks end-of-day work: the ability to open and close registers, and the ability to open the cash drawer. Create the users
Go to System Settings → Users and click Add New.

For table service, the user form also has a Tables step where you assign the tables that server is responsible for.
Add the users to the register
Return to Point of Sale → Registers, edit the register, and add your new staff on the Users step. This is the step most often missed. A user with the right role but no entry in the register’s user list will not be able to sign in at that terminal.
Step 13: Open the Register and Start Selling
Your setup is complete. Opening the register starts a batch, which is the container for the day’s sales.
Go to Point of Sale → Registers.
Switch the register’s Status toggle on, or check the row and click Open above the list.
If the register accepts cash, the Open Register window asks for the starting cash in the drawer. It pre-fills with the Default Opening Cash you set in Step 11. Confirm the amount and click Open.
Open the three-dot menu on the register row and choose View to load the terminal.
Note: the View option is greyed out with a Closed Register label until the register is open. If you cannot reach the terminal, check the register’s status first.
First-time terminal activation
The first time a workstation loads a terminal, Sharper asks a manager to activate it. Enter your Sharper email and password on the activation screen and confirm. The workstation is then paired to that register and remembers it. After activation, staff enter the terminal with their PIN.
Closing at end of day
At the end of the shift, close the register from the same list to finalize the batch and produce the Z-Out. Servers close out first, then a manager closes the register. For the full closing procedure, see POS - End of Day Checklist: Closing the Register.
