Reports - Campground Meter Read Rent Roll Report

The Campground Meter Read Rent Roll is a roster of every electric meter in your park — where each one is, its most recent reading, and who is currently in the space it serves. Think of it as the meter equivalent of a rent roll: a snapshot of the whole park as it stands today, rather than a history of readings.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. Why This Report Matters

Before a billing run, the question you need answered is not "what readings do I have?" but "which meters have I not read yet?" — and a history report cannot tell you that, because a meter that was missed simply has no rows. This report starts from the meters themselves, so a missed meter shows up as a row with a stale or empty reading. Use it to:

  • Check every meter has a recent reading before you invoice

  • Find meters whose last reading is weeks or months old

  • Confirm meters are assigned to the right spaces

  • See at a glance which metered spaces are occupied and by whom

The Meter Read Rent Roll carries no cost, rate, usage, or billed-amount columns at all. It cannot tell you what a guest was charged. If you are auditing utility billing figures, you need the Campground Meter Reads report, which has Cost Per Unit, Service Charge and Total Cost. Use this report to confirm the readings exist, then that one to check what they billed.


Every Meter, Latest Reading Only

Two behaviors follow from the way rows are built, and both matter when reading the report:

  • Every campground meter appears, whether or not its space is occupied and whether or not it has ever been read. A meter with no readings shows blank reading columns — that is the signal you are looking for.

  • The reading shown is always the most recent one. There is one reading per meter on this report, no matter how many have been recorded.

The customer and reservation columns describe whoever is in the space today, ignoring cancelled and checked-out stays. On an empty space they are blank, which is normal rather than a fault.


Building a Meter Read Rent Roll

  1. Go to Reports → Campground → Meter Read Rent Roll in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Pre-Billing Meter Check."

  4. Add the columns below from the Available panel.

  5. Optionally turn on Dashboard so the pre-billing check is one click away.

  6. Click Save, then Get Report to run it.

Field

What It Shows

Meter Name, Meter ID

The physical meter and its identifier

Meter Status

The meter's own status — use it to separate live meters from any that are out of service

Last Reading Date

When the meter was last read. The single most useful column here — sort by it ascending and your stalest meters come to the top.

Previous Reading, Current Reading

The figures from that most recent reading. Both blank means the meter has never been read.

Unit / Slip Name, Space / Slip Number

The space the meter serves, by name and by number. These column labels are shared with the marina module, so they read "Slip" even in a campground — they mean your space.

Unit Group

The loop the space sits in — the practical way to organize a reading round

Space Collection

The composite space a site rolls up into, where two spaces are combined into one bookable unit

Customer Name, Cust Email, Cust Phone

Who is in the space today. Blank when the space is empty.

Reservation Status, Arrival Date, Departure Date

The current stay on the space

Reservation ID, Booking ID

References for looking the reservation up

Cust Type

The customer's classification, where you bill different customer types differently

Note: A meter with a blank Unit / Slip Name is not assigned to a space at all. It will never bill anyone, and it will not appear against a guest on the Meter Reads report either. Assign it to its space before the next billing run.


Useful Filters

  • Meters never read: Field Last Reading Date, set to is empty.

  • Stale readings before billing: Field Last Reading Date, operator <, entering the start of the current billing period.

  • Unassigned meters: Field Unit / Slip Name, set to is empty.

  • Occupied metered spaces only: Field Customer Name, set to is not empty.

  • One loop's reading round: Field Unit Group, set to the group, sorted by Space / Slip Number.

Running the stale-reading filter immediately before each billing run is the simplest guard against invoicing a guest from a reading that is a month out of date.
