Accessing the Reservations List
Navigate to Campground → Reservations from the top ribbon.
Creating a New Reservation
Click Add New in the upper-right corner. Use the drop-down arrow to select Advanced Reservation — the standard creation workflow. Select a booking period (Transient, Long-Term, or Seasonal) on the next screen.
Filtering the Reservation List
Filter | Description |
Date Range | Filter by reservation start or end date |

Search | Search by customer name, reservation ID, or vehicle name |
Reservation Statuses
Status | Meaning |
Reserved | Reservation created; not yet confirmed |
Reserved Online | Guest completed online booking |
Confirmed | Staff has confirmed the reservation |
Checked In | Guest is on-site |
Checked Out | Guest has departed |
Cancelled | Reservation cancelled; does not appear on tape chart |
Waitlist | Reservation held pending availability |
Custom statuses may also appear if configured in Campground → Settings → Custom Status.
Opening a Reservation
Click any row in the list to open the reservation summary. From there you can:
View the customer and vehicle details
See the space assignment
Review accounting settings and invoice history
Change the reservation status
Add incidental charges
Send e-sign contracts
Make payments or view the balance
Changing Reservation Status
From the reservation summary, use the Status field or the three-dot action menu to update status:
Confirm — Move a Reserved reservation to Confirmed
Check In — Mark the guest as arrived
Check Out — Mark the guest as departed
Cancel — Cancel the reservation
Warning: Cancelling a reservation does not automatically issue a refund. Any refund must be processed manually in the Accounting or CRM module based on the applicable cancellation policy.
For bulk check-in/check-out of seasonal reservations, use the Dashboard.
Editing a Reservation
Open the reservation from the list.
Click Edit at the top of the reservation form.
Make the necessary changes.
Click Save.
Note: Changing the space on an existing reservation creates a Space Assignment record tracking the move. Vehicle dimensions from the original booking carry over and should be verified against the new space's constraints.
Cancelling a Reservation
Open the reservation.
Change the status to Cancelled via the Status field or three-dot menu.
Confirm the cancellation.
Cancelled reservations are retained in the system for reporting and audit purposes.
Waitlist Reservations
If no space is available for the requested dates, staff can create a reservation in Waitlist status. When a space opens up, update the reservation with a space assignment and move it to Reserved or Confirmed status.
Viewing Reservation Invoices and Payments
From within a reservation, select the Transactions section to:
View all invoices tied to the reservation
See payment history
Generate new invoices manually
