Marina - Product Setup

How to create and configure products in the Marina module, including rates, booking setup, vessel requirements, and online availability options.

This article covers product setup in the Marina module. Marina products define the slip types, moorings, dry storage categories, and other reservable assets at your facility. Each product belongs to a Booking Type and controls its own pricing, billing rules, vessel eligibility, and accounting.

This article covers the Marina module only. For Booking module products (boat rentals, hotel rooms, day-use facilities), see Booking - Product Setup. For campground site products, see Campground - Product Setup.

Prerequisite: A Booking Type must exist before creating a product. Set up Booking Types at Marina → Settings → Booking Types. If you are adding a product to an existing Booking Type, no new Booking Type is needed.


When to Create a New Product

Create a new product when you introduce a slip category, storage type, or marina offering with different rates or rules from your existing products — for example, a new size class of slip, a covered versus uncovered dry storage area, or a new mooring field with different vessel requirements.

Marinas configured with a small number of products and multiple rate plans tied to each should consider adding a new rate plan instead. Contact your Sharper installer to confirm the right approach for your configuration.


Getting Started

  1. Go to Marina → Products.

  2. Select Add New at the top right.

  3. Select the Time Period:

The Time Period cannot be changed after the product is saved. Long Term and Seasonal products use recurring billing logic; Transient products use per-stay billing. Choose carefully before proceeding.

Product setup is organized across four tabs: General, Units, Booking Setup, and (conditionally) Advanced Pricing & Constraints. Complete them in order. Required fields must be filled before the product can be saved.


Step 1 — General Information

Field

Description

Item ID

Auto-generated when the product is saved. Read-only.

Name (Required)

The product name shown to staff and guests on reservations and invoices. Must be unique across all products.

Item Type (Required)

The accounting classification of the product. Most marina products use Service. Cannot be changed after the product has transactions on record.

Booking Type (Required)

The Booking Type this product belongs to. Controls which slips and spaces are available on the Units tab. Must exist before creating the product.

Booking Period

Automatically set to the Time Period chosen at creation. Read-only.

Product Category

Optional grouping for organization and filtering. Categories are configured in Marina → Settings → Product Category.

Description

Short description of the product. Appears on invoices.

Images

Product images shown during reservation creation and in the online booking portal.

Description displayed in search results

Rich-text description shown to guests in the online portal search results, below the product image.

Tax Code (Required)

Tax classification for this product.

Account (Required)

Income account this product's revenue posts to. If deferred income is enabled, use the unearned/deferred account here and set the earned income account in the Deferred Income section on the Booking Setup tab.

Accounting Class

Optional. Assigns this product to an accounting class for reporting segmentation (e.g., by slip type, building, or property section).

Price

Base rate for this product. If Advanced Pricing is enabled, this value is overridden by rate plan pricing.

Price Calculation Method (Required)

Determines how the base price is applied — per month, per year, upfront, or per night for transient products. For Advanced Pricing, the calculation method is defined at the rate plan level.

Additional Taxes

Supplemental tax rates applied to this product beyond the outlet's default rate (e.g., an occupancy tax or local surcharge).

Payment Schedule

Optional. Assigns a payment schedule defining when deposits or installments are due.


Step 2 — Units

Assign the slips or spaces that belong to this product. Only spaces associated with the Booking Type selected on the General tab appear here.

A space can be assigned to multiple products. Spaces must first be created in Marina → Settings → Spaces / Slips before they appear here. See Marina - Spaces / Slips. Units can also be assigned after the product is saved.


Step 3 — Booking Setup

Booking Setup defines the operational rules, billing behavior, and online availability settings for this product.

Visibility & Status

Field

Description

Virtual

When enabled, the product does not consume slip or space availability. Used for special-case offerings not tracked against a physical slip. Cannot be changed after the product is saved.

Hide in search results

When enabled, this product does not appear in the online booking portal. Staff can still create reservations from the back office.

Inactive

When enabled, the product is fully disabled and cannot be booked by staff or guests.

Online URL

Configured by your Sharper installer. A direct booking URL for this product on the online portal.

Confirmation BCC Emails

Email addresses that receive a blind copy of every booking confirmation for this product.

Reservation Caption

A short label for this product used on reservation records. QuickBooks has a character limit for item names — if your product name is being cut off in QuickBooks, use this field to define a shorter name for sync purposes.

Online Booking Constraints

Description

Minimum Book in Advance

How many days ahead a guest must book online. Setting to 1 prevents same-day online bookings. Leave at 0 for no restriction.

Maximum Book in Advance

How far in advance guests can book online, in days. Leave at 0 for no restriction.

Billing Configuration

These fields control recurring invoice generation. Most relevant for Long Term and Seasonal products.

Description

Deposit Policy

The deposit or cancellation policy applied to reservations on this product.

Invoice Offset Days

How many days before the next invoice due date the invoice is generated when automatic invoice processing is active. Example: setting to 10 generates the invoice 10 days before the due date. Automatic invoice processing is configured by your Sharper installer.

Invoice Frequency

How often invoices are generated — Monthly, Quarterly, Annually, or Upfront. Applies to Long Term and Seasonal products.

Payment Term

Overrides the global payment term for invoices generated by this product. Leave blank to use the default. See Accounting - Payment Terms Hierarchy.

First Invoice

Determines how the first invoice for a new reservation is calculated:
Fixed — charges the full billing period amount regardless of when in the cycle the reservation starts.
Pro-Rated — charges only for the portion of the first billing period the reservation occupies.
No Charge — waives the first invoice entirely.

Next Invoice

When the first invoice is pro-rated, this controls how the second invoice is handled to bring billing back onto the regular cycle date.

Prorated Frequency

The frequency unit used for pro-ration math. Use Daily for Monthly or Quarterly invoice frequencies. Use Monthly for Annual invoice frequencies.

Co-Term Date

A fixed date that manually aligns billing to the regular cycle when the Next Invoice options don't produce the needed result.

Sort Order

Controls display order in lists and the online portal. Lower numbers appear first.

Vessel Constraints

Vessel Constraints restrict online bookings to vessels that meet the physical requirements of the slips assigned to this product. Guests whose vessel falls outside these limits will not be able to book this product online.

Set minimum and maximum values for any combination of the following dimensions. Leave a field blank to apply no restriction for that dimension.

Length Overall

Minimum and maximum vessel length (feet and inches). Use to match slip length capacity.

Beam

Minimum and maximum vessel beam width (feet and inches). Use to enforce slip width limits.

Height

Minimum and maximum vessel height (feet and inches). Use for covered slip clearance restrictions.

Weight

Minimum and maximum vessel weight (lbs). Use for dock or lift weight capacity limits.

Draft

Minimum and maximum vessel draft (feet and inches). Use for shallow-water slip restrictions.

Square Feet

Minimum and maximum square footage. Use for storage or covered rack space size limits.

Pricing, Extras & Contracts

Field

Description

Base Pricing / No Constraints

The product uses the base price set on the General tab. No rate plan logic applies.

Advanced Pricing / Constraints

Enables Tab 4 where rate plans are configured. When selected, the base price on the General tab is overridden by rate plan pricing.

Extra / Price Adjustments

Fees automatically applied to reservations on this product. See Marina - Price Adjustments.

Product Contracts

Digital contracts presented to guests at checkout. Contracts are created in Marina → Settings.

Custom Reservation Status

Custom workflow statuses available on reservations for this product. See Marina - Custom Status.

Deferred Income

Enable deferred income when invoices are generated ahead of the period they cover — most common for annual or upfront billing where revenue should be recognized monthly as the slip is occupied rather than all at once on invoice date.

When to defer: If Invoice Frequency is Monthly, deferral is generally not needed — revenue and the billing period already align. Annual, Upfront, or Seasonal invoice frequencies should typically have deferred income enabled with a Monthly deferred frequency. Transient products should use a Daily deferred frequency if deferral is required.

Enable Deferred Income

Toggle on to activate deferred revenue recognition. When enabled, the Account in General Information should be your unearned/deferred income account — not the earned income account.

Deferred Frequency (Required if enabled)

How often the deferred balance is recognized as earned income. Monthly is standard for annual or upfront billing. Daily is used for transient reservations where deferral is required.

Sales Income Account (Required if enabled)

The income account revenue posts to as it is earned. Must be different from the Account in General Information.

Step 4 — Advanced Pricing & Constraints

This tab is only available when Advanced Pricing / Constraints is selected in Booking Setup. It contains rate plans and rule-based pricing that override the base price under specific conditions (season, period length, vessel dimensions, etc.).

  1. Select Add Effective Date, Add Season, or Add Year to Calendar to define a pricing period.

  2. Select Add Rate Plan to add pricing rows within that period.

  3. Enter the rate for each row. Marina rate plans can be priced per month, per year, upfront, or per night — determined by the rate plan configuration.

Advanced Pricing can be configured after initial product creation — save the product first, then return to set up rate plans. See Marina - Updating Rates (Long Term).
