Reports - Marina Occupancy Report

The Marina Occupancy report measures how full your marina was, day by day. Rather than one row per reservation, it produces one row per slip per day, which is what lets it calculate occupancy percentage and average daily rate (ADR) over any period you choose.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. Why This Report Matters

Occupancy is the number that tells you whether the marina is performing, and it is the one an owner, lender, or management company will ask for first. Because this report is built per day, it can answer questions a reservation list cannot:

  • What percentage of slips were filled in July, and how does that compare with last July

  • What the marina actually earned per occupied slip per night (ADR), rather than list rate

  • Which docks or slip groups run full and which consistently sit empty

  • How occupancy moves across the season, week by week


One Row Per Slip Per Day

This is what makes the Occupancy report different from every other marina report, and what you need to understand before reading its numbers. A single one-month reservation does not produce one row — it produces roughly thirty, one for each night of the stay, each carrying that night's share of the revenue.

Because revenue is spread across days, do not read a single row's Total as the value of the reservation — it is that one night's portion. Equally, a row count is a count of slip-nights, not a count of bookings. When you want reservation-level figures, use the Marina Reservations report instead. Use Occupancy when you want rates and percentages over a period.

Only slips that are actually assigned to a reservation contribute occupied days. A reservation that has been taken but never given a slip will not count toward occupancy.


Building an Occupancy Report

  1. Go to Reports → Marina → Occupancy in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Seasonal Occupancy."

  4. Add the columns below. For a summary rather than a day-by-day listing, select a period column such as Date YYYYMM together with Occupied and ADR.

  5. Turn on Summarize Report if you want totals rather than every individual slip-night.

  6. Turn on All Outlets to compare marinas side by side.

  7. Click Save, then Get Report to set your date range and run it.


Recommended Columns

Field

What It Shows

Occupied

Whether the slip was occupied on that date — the basis of every occupancy percentage

ADR

Average daily rate: revenue divided by occupied slip-nights. The single most useful performance figure on the report.

Date

The day the row represents

Year, Month, Day, Day Name

The same date broken out, so you can group by month or compare weekends against weekdays

Date YYYYMM

Year and month as one value — the easiest column to group a monthly occupancy summary on

Calculated Days, Duration

The length of the stay behind the row

Unit Name, Unit Group Name

The slip and its dock — group on Unit Group Name to compare docks

Unit Inactive

Whether the slip is out of service. Filter these out before calculating occupancy, or a dock under repair will drag your percentage down.

Booking Type Name

The kind of booking the slip takes — lets you separate transient from seasonal performance

Max LOA, Max Beam, Max Draft

Slip limits — useful for seeing whether your larger berths are the ones sitting empty

Subtotal, Tax, Total

That day's share of the revenue

Customer Name, Vessel Name

Who was in the slip that night, when you need the detail rather than the summary

Product Name, Income Account

What was billed and where the revenue posts

Note: Occupancy reports do not behave like other reports on the run screen — the period comes from the report's own date handling rather than the standard date fields. If your figures look wrong for the period you expected, check the date range on the run screen before assuming the data is at fault.


Useful Filters

  • Exclude out-of-service slips: Field Unit Inactive, set to No. Apply this to almost any occupancy report.

  • Occupied nights only: Field Occupied, set to Yes — use this when calculating ADR on its own.

  • One dock: Field Unit Group Name, set to the group.

  • Weekends only: Field Day Name, set to Saturday and Sunday.

  • Transient business only: Field Booking Type Name, set to your transient type.

  • A single month: Field Date YYYYMM, set to the month.

A saved report grouped by Date YYYYMM with Occupied and ADR selected, filtered to exclude inactive slips, gives you a month-by-month performance summary you can run at the end of every season.
