Reports - Accounting Payroll Report

The Payroll report lists staff shifts — who worked, when the shift started and ended, and how long it lasted. It is a timekeeping report drawn from the shifts your staff clock in and out of in Sharper.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. Why This Report Matters

Seasonal operations run on variable hours, and hours recorded in the system are what you hand to whoever runs your payroll. This report turns clocked shifts into a list you can total by person and period, which makes it useful for:

  • Producing hours worked per staff member for a pay period

  • Spotting shifts that were never clocked out

  • Reviewing how staffing hours track against your busy periods

  • Checking hours before they go to payroll rather than after


What This Report Is Not

The report is deliberately narrow — it has seven columns and covers time only.

There are no pay rates, gross pay, tax, or deduction columns, and Sharper does not calculate wages. Despite its name, this report does not produce payroll — it produces the hours that payroll is calculated from. Whoever runs your payroll will need to apply rates themselves. If you are looking for tips taken at the point of sale, those live on the POS Tips report, not here.

Because rows come from clocked shifts, a staff member who does not use the clock-in feature will not appear at all — the report cannot show hours it was never given.


Building a Payroll Report

  1. Go to Reports → Accounting → Payroll in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Hours Worked This Period."

  4. Add the columns below from the Available panel.

  5. Set Subtotal to Duration so the report totals hours.

  6. Turn on All Outlets if staff work across more than one location.

  7. Click Save, then Get Report to set your pay period and run it.


Available Columns

The complete column list:

Field

What It Shows

User First Name, User Last Name

The staff member who worked the shift

User Name

Their login name — the most reliable column to group on, since two people can share a first and last name

User Email

Their email address, for matching against your payroll system's records

Start Date

When the shift began — the column to filter a pay period on

End Date

When the shift ended. Empty means the shift was never clocked out.

Duration

How long the shift lasted — the column to subtotal for hours worked

Note: A shift with an empty End Date has no duration to contribute, so it will quietly reduce someone's total hours rather than showing up as an error. Check for open shifts before sending hours to payroll — it is the most common reason a staff member's total comes out short.


Useful Filters

  • One pay period: Field Start Date, operator Between, covering the period, subtotalled on Duration and grouped by User Name.

  • Shifts never clocked out: Field End Date, set to is empty. Run this before every payroll submission.

  • One person's hours: Field User Name, set to the staff member.

  • Unusually long shifts: Field Duration, operator >, entering a length that should not occur — often a shift somebody forgot to close.

  • Very short shifts: Field Duration, operator <, entering a few minutes — usually an accidental clock-in and out.

Running the open-shift filter first, correcting anything it finds, and only then running the period report is the sequence that avoids sending payroll figures you have to correct afterwards.
