Reports - Booking Occupancy Report

The Booking Occupancy report measures how heavily your bookable items are used — moorings, function rooms, equipment, activities — day by day. Rather than one row per booking, it produces one row per unit per day, which is what lets it calculate utilization and average daily rate (ADR).

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. Why This Report Matters

Ancillary bookings are usually judged on revenue alone, which hides the more useful question: how much of the available capacity is actually being sold? A function room booked twelve times a year is a very different proposition from one booked twice a week, even at the same annual revenue. Use this report to:

  • See utilization for each bookable item across a season

  • Identify items that are barely used and may not be worth maintaining

  • Find the days and weekdays where demand concentrates

  • Compare achieved rate against list price


One Row Per Unit Per Day

A booking spanning several days does not produce one row — it produces one for each day, each carrying that day's share of the revenue.

Because revenue is spread across days, a single row's Total is not the value of the booking — it is one day's portion. A row count counts unit-days, not bookings. When you want booking-level figures, use the Booking Reservations report instead. Use Occupancy when you want utilization and rates over a period.

Only units actually assigned to a booking contribute occupied days. A reservation taken but never assigned to a specific item will not count toward utilization.


Building an Occupancy Report

  1. Go to Reports → Booking → Occupancy in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Facility Utilization."

  4. Add the columns below. For a summary rather than a day-by-day listing, select a period column such as Date YYYYMM together with Occupied and ADR.

  5. Turn on Summarize Report if you want totals rather than every individual unit-day.

  6. Click Save, then Get Report to set your date range and run it.

Field

Occupied

Whether the item was booked that day — the basis of every utilization figure

ADR

Average daily rate: revenue divided by occupied days. Compare it against list price to see what you are actually achieving.

Date

The day the row represents

Year, Month, Day, Day Name

The date broken out. Day Name is particularly useful here, since ancillary demand is often heavily weekday-dependent.

Date YYYYMM

Year and month as one value — the easiest column to group a monthly summary on

Calculated Days, Duration

The length of the booking behind the row

Unit Name, Unit Description

The item being booked. Group on Unit Name to rank your facilities by usage.

Unit Group Name

The grouping the item belongs to

Unit Inactive

Whether the item is out of service. Filter these out before calculating utilization.

Booking Type Name

The kind of booking the item takes

Subtotal, Tax, Total

That day's share of the revenue

Customer Name

Who had it booked, when you need the detail rather than a summary

Product Name, Product Category Name, Income Account

What was billed and where the revenue posts

Note: Occupancy reports do not behave like other reports on the run screen — the period comes from the report's own date handling rather than the standard date fields. If your figures look wrong for the period you expected, check the date range on the run screen before assuming the data is at fault.


Useful Filters

  • Exclude out-of-service items: Field Unit Inactive, set to No.

  • Occupied days only: Field Occupied, set to Yes — use this when calculating ADR on its own.

  • Utilization by item: group by Unit Name with Occupied selected, over a full season.

  • Weekday demand: group by Day Name — often the most revealing view for ancillary facilities.

  • One category: Field Product Category Name, set to the category.

  • A single month: Field Date YYYYMM, set to the month.

Grouping by Unit Name across a whole season, with inactive items excluded, gives you a straightforward ranking of which facilities earn their keep — the report most likely to change a decision.
