Company Settings - Template Settings

Template Settings is where you choose which saved template Sharper uses for each kind of document it sends or prints — invoices, receipts, statements, folios, and the ACH and deposit payment emails. If a customer received the wrong-looking invoice email, or no email at all, this is usually the screen that decides it.

This screen picks templates. It does not contain them. Every dropdown here points at a template that was built somewhere else — System Settings → Templates. Editing the wording, logo, or layout of a document means editing the template itself; changing which document goes out means changing the setting here. Mixing these two up is the most common reason a wording change appears to "not save".

These settings save per outlet. Even though the screen lives under Company Settings, each outlet keeps its own copy of every field below. If your property has more than one outlet, setting a template for one does not apply it to the others — check the outlet selector at the top of the screen before you change anything, then repeat for each outlet.


Accessing Template Settings

Navigate to Company Settings from the left navigation pane, then select the Template Settings tile. The screen is divided into sections — ACH, Account, Invoices, Invoice Item Descriptions, Payment Receipts, Refund Receipts, Credit Memo Receipts, Statements, Transient Folio, Signature, Deposit Pay, and Print.


Print, Email, and Email Attachment

Five sections on this screen repeat the same trio of fields. Understanding the trio once explains most of the page:

Print Template

The document produced when staff print or download it from inside Sharper. This is the paper copy a guest is handed at the desk.

Email Template

The body of the email itself — the message the customer reads when it lands in their inbox.

Email Attachment Template

The PDF attached to that email. It is a separate template from the email body, so the attachment can be a formal document while the email stays a short note.

Payment Receipts, Refund Receipts, Credit Memo Receipts, Statements, and Transient Folio each use this trio. Invoices use it too, plus one extra field for the payment link.


If a Template Is Missing From a Dropdown

Each dropdown on this screen only offers templates of the matching type. The Invoice Email Template field lists only templates whose type is Invoice Email; the Statement Print Template field lists only Statement templates, and so on. A template you built will not appear in the list unless both of these are true:

  • The template exists in System Settings → Templates.

  • Its Type matches the field you are trying to set.

If a template is missing here, open it in System Settings → Templates and check its Type first. A template saved with the wrong type is invisible to the field it was meant for, which reads as "my template disappeared".


The Four Typed-In Fields

Most fields on this screen are dropdowns. Four are not — you type into them, and Sharper stores exactly what you type.

The web address a customer lands on to pay an invoice. Enter the full address including https://.

Deposit Pay Url

The address a customer lands on to pay a reservation deposit.

ACH Sign-up Form Url

ACH

The address of the form where a customer enters their bank details to enrol in ACH.

ACH Declined Email To

ACH

An internal email address on your team. When an ACH payment is declined, the notice goes here — not to the customer.

These are hardcoded addresses — Sharper does not keep them in sync with anything else, ever. Each of these fields is stored exactly as you type it and stays that way indefinitely. If the address it should point to ever changes for any reason — you move to a new booking site, switch domains, restructure your website — Sharper will not detect that or update the field for you. It is entirely on you to come back and manually update every one of them whenever the underlying address changes. A stale address here produces a link that looks fine in the email and fails when the customer clicks it.

The three URL fields show example.com as placeholder text. That is only a hint about the expected format — it is not a working address and it is not a default. A field left empty produces an email with a broken or missing payment link.

What it does

ACH Sign-up Email Template

The email inviting a customer to enrol in ACH payments. This is the email that carries the ACH Sign-up Form Url.

ACH Declined Email Template

The notice sent when an ACH payment is declined or returned.

ACH Declined Email To

Your internal address that receives the declined notice. Leave this set to someone who actually watches it — a returned ACH payment is money you have not collected.

ACH Sign-up Form Url

Where the sign-up email sends the customer to enter their bank details.

ACH Terms And Conditions

The terms a customer agrees to when authorising you to debit their account.

Account

Reset Password Email Template — the email a customer receives when they request a password reset for the customer portal. This is the one required field on the screen. The form will not save without it, because a customer locked out with no reset email has no way back in.

Invoices

Invoice Print Template, Invoice Email Template, and Invoice Email Attachment Template follow the standard trio described above. The fourth field, Invoice Email Pay Url, is the address behind the pay link in the invoice email.

Invoice Item Descriptions

These five fields are different from everything else on the screen. They do not control a whole document — they control the wording of an individual line item inside an invoice. This is how you decide whether a slip charge reads as a bare product name or as something like "Slip A-12, 14 Jun – 21 Jun, 7 nights".

Line items for seasonal and long-term reservations.

Reservation Item Extra Charge Description Template

Price adjustments and extra charges added to a reservation.

Power Meter Reading Description Template

Metered electric line items. This is where the reading dates and kWh detail come from, so a guest can see how the charge was worked out.

Order Sale Description Template

Point of Sale items billed to an invoice or house account.

If customers regularly ask what a charge on their invoice was for, these five fields are the place to fix it — not the invoice template itself.

Payment, Refund, and Credit Memo Receipts

Three sections, each using the standard Print / Email / Email Attachment trio:

  • Payment Receipts — sent when a payment is taken.

  • Refund Receipts — sent when money is returned to a customer.

  • Credit Memo Receipts — sent when a credit is issued against an account.

Statements

Statement Print Template, Statement Email Template, and Statement Email Attachment Template control the account statement showing a customer's balance and activity over a period — as opposed to an invoice, which bills a specific set of charges.

Transient Folio

Transient Folio Template, Transient Folio Email Template, and Transient Folio Email Attachment Template control the itemised folio for a transient stay — the running summary of everything a short-stay guest was charged, typically handed over at checkout.

Signature

Email Signature selects the reusable sign-off block appended to outgoing emails. This field chooses which signature is active; the wording of the signature itself is edited on that Email Signature template under System Settings → Templates.

Deposit Pay

The email body sent when you send a deposit payment link.

Deposit Pay Email Attachment

The PDF attached to that email.

Print

Print Scale accepts a number from 0 to 100 and sets how large printed documents render. Adjust this if printed invoices or receipts come out too large for the page or too small to read comfortably. Change it in small steps and print a test page — this setting affects every printed document for the outlet.


What Is Not On This Screen

Three things people reliably come here looking for and do not find:

  • The e-sign contract link. Unlike the other payment links, the e-sign email template is chosen per contract, under System Settings → Contracts. There is no e-sign field on this screen.

  • Template content. The wording, logo, colours, and layout of every template listed here are edited in System Settings → Templates. See System Settings - Templates.

  • Whether a receipt is emailed automatically. This screen sets which template is used; whether it goes out on its own is controlled in Company Settings → Outlet Defaults. See Company Settings - Automatic Email Receipt Settings.
