How-To Use the Move Products Tool

This document explains how to move a reservation to a different product in Sharper MMS without cancelling the existing reservation or losing the deposit. This process applies to transient reservations, booking reservations, marina slip reservations, and campground reservations.


Move Products β€” Overview

The Move Products tool allows staff to reassign a reservation from one product to another without cancelling the reservation or touching the deposit. This is useful when a guest needs to be moved to a different slip, unit, or product type mid-stay or before arrival.

Using this tool preserves:

  • The original reservation and its reservation ID

  • Any deposit already collected on the reservation

  • The customer's history and account balance


How To β€” Move a Reservation to a Different Product

When to Use This

Use the Move Products tool any time a guest needs to be moved to a different bookable product (e.g., a different slip type, campsite category, or booking unit) and you want to keep the deposit and the reservation intact.

Steps:

  1. Navigate to the reservation.

    1. Go to the appropriate module (Marina, Campground, or Booking) and open the Reservations list. Locate and open the reservation you want to move.

  2. Enter edit mode.

    1. Click the Edit button to edit the details of the reservation.

  3. Click the product name.

    1. On the right side of the reservation, below the product image, click the name of the current product. The product name will appear as a clickable link if your user role has the Change Product permission for the module you are in. Clicking it replaces the product name with an inline product search dropdown.

  4. Select the new product.

    1. Choose the product you want to move this reservation to from the dropdown. If the new product requires different dates, adjust the date range at this step as needed.

  5. Click Search Availability.

    1. Click Search Availability. Because the product has been changed, the system will display a prompt: "Product has been changed. Would you like to update reservation pricing or keep it?"

      1. Click Keep to retain the original pricing from the existing reservation.

      2. Click Update to recalculate the price based on the new product's rate plan.

  6. Confirm price and deposit changes (if prompted).

    1. If the recalculated price or deposit amount differs from what is currently on the reservation, a second prompt may appear: "Do you want to update price and deposit amounts?"

      1. Click Keep to leave the existing price and deposit unchanged.

      2. Click Update to apply the new product's calculated price and deposit.

  7. Save.

    1. Click Save to apply the product change. The reservation will now reflect the new product while retaining its reservation ID, deposit, and history.


Notes

  • Permission required: The product name will only appear as a clickable link if your user role has the Change Product permission for the module (Marina, Campground, or Booking). If it is plain text and not clickable, contact your administrator to grant this permission.

  • Transient reservation restriction: For transient reservations, the product change option is blocked if any existing invoices on the reservation pre-date the accounting closed period. In this case, the product name will not be clickable.

  • Deposit is preserved: Choosing Keep at either pricing prompt leaves the existing deposit intact. You do not need to cancel and re-book to preserve the deposit.

  • Date adjustments: If the new product requires different dates, adjust the date range in Step 4 before clicking Search Availability.

  • Unavailable product: If the selected product is not available for the chosen dates, the system will display an error after clicking Search Availability. Select different dates or a different product before proceeding.
