Reports - Booking Reservations Report

The Booking Reservations report lists bookings from the Booking module — the part of Sharper used for things that are reserved but are not slips or campsites, such as moorings, function rooms, equipment hire, and activities. One row per reservation, with the customer, the dates, the rate, and the status.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. For a full walkthrough of the reporting form itself, see the Sharper Reporting Reference Guide. This article only covers what's specific to the Booking Reservations report.


Why This Report Matters

Booking-module reservations are usually the ancillary side of the business — the things sold alongside a berth or a site rather than instead of one. They are also the easiest to overlook, because they do not show up on marina or campground reports at all. Use this report to:

  • See what is booked for a given day, for staffing and preparation

  • Measure how much ancillary revenue these bookings actually generate

  • Review cancellations and the reasons behind them

  • Pull party sizes and special requests ahead of an event


A Lighter Report Than Its Siblings

If you already use the Marina or Campground Reservations reports, expect a shorter column list here. Because Booking covers a general kind of reservation rather than a vessel in a slip or a rig on a site, it has:

  • No vessel or vehicle columns — there is no boat or rig attached to a booking

  • No unit dimension limits — no maximum length, beam, or height, since what is booked is not sized that way

  • No meter, contract expiration chasing, or rent roll equivalent in the same sense

It does carry Special Request, which the other modules' reservation reports do not, and which is often the most useful column on the report for anything customer-facing.


Building a Reservations Report

  1. Go to Reports → Booking → Reservations in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Today's Bookings."

  4. Add the columns below from the Available panel.

  5. Optionally turn on Dashboard with a short Dashboard Caption for a list you run daily.

  6. Click Save, then Get Report to set a date range and run it.

Where the booking stands, including any custom statuses configured

Customer Name, Cust Email, Cust Phone

Who booked and how to reach them

Special Request

What the customer asked for. Include this on any list staff will work from — it is where the detail that makes a booking go well usually sits.

Adults, Children

Party size, which for activities and functions is often the operationally important number

Unit Name, Unit Description

What was booked — the room, mooring, or item

Product Name, Income Account

What is being charged and where its revenue posts

Rate Plan Name

The rate applied

Subtotal, Tax, Total

The booking value

Has Auto Pay

Whether payment is collected automatically

Cancellation Date, Cancellation Reason

When and why a booking was cancelled

Internal Note, External Note

Notes on the booking. Internal notes are staff-only; external notes may be visible to the customer.

Created Date, Created Week

When the booking was taken, for measuring how far ahead people book

Is Extra Charge

Whether the row is an add-on rather than the base booking — see the warning below

As in the other modules, extra charges appear as additional rows on the same booking, marked Is Extra Charge = Yes. A booking with two add-ons appears three times, so a row count will overstate your booking numbers and a sum of Total will mix the base booking with its extras. Add a filter for Is Extra Charge = No whenever you are counting bookings.


Useful Filters

  • Today's bookings: Field Arrival Date set to today, with Is Extra Charge = No and Special Request selected.

  • Bookings with special requests: Field Special Request, set to is not empty.

  • Cancellations in a period: Field Cancellation Date, operator Between.

  • Never checked in: Field Checked In Date set to is empty, with an arrival date in the past.

  • Large parties: Field Adults, operator >, entering a size that needs extra preparation.

  • Revenue for a period: Field Arrival Date operator Between, subtotalled on Total.

A daily list filtered to today's arrivals with Special Request, Adults and Children selected is the single most useful thing to build here, and worth pinning to the dashboard.
