The CRM Invoices report lists invoices — one row each, with the customer, the dates, the total, what has been paid, and what is still owed. It is the report for questions about invoicing itself, as distinct from what was on each invoice.
This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. For a full walkthrough of the reporting form itself, see the Sharper Reporting Reference Guide. This article only covers what's specific to the Invoices report.
Why This Report Matters
Billing runs are where a lot goes quietly wrong — an invoice that did not generate, one that generated twice, one sitting unsent, or a batch that did not come to the total you expected. One row per invoice with paid and outstanding amounts alongside is what lets you check all of that. Use it to:
Verify a billing run produced the invoices and the total you expected
Find unpaid invoices past their due date
Check which invoices are set to collect automatically and which will need chasing
Review invoices still sitting in a draft or unsent state
Invoice Date, Due Date, and Created Date
Three dates that are easy to confuse, and picking the wrong one will give you the wrong set of invoices:
Column | What It Means |
Invoice Date | The date on the face of the invoice — what the customer sees, and the date to report a billing period on |
Due Date | When payment is due. This is what aging is measured from, so it is the column for anything overdue-related. |
Created Date, Created Time | When the invoice record was generated in Sharper. Use this to isolate a single billing run. |
Filtering on Invoice Date when you meant Due Date is the most common mistake with this report. An invoice dated the 1st with 30-day terms is not overdue until the 31st — filter overdue lists on Due Date, and reserve Invoice Date for "what did we bill in this period".
Invoices or Invoice Details?
Use CRM Invoices when you want one row per invoice — totals, balances, and status. Use CRM Invoice Details when you need the individual lines on those invoices, with products and income accounts. Totals will not match between the two, because Details repeats the invoice across each of its lines.
Building an Invoices Report
Go to Reports → CRM → Invoices in the left sidebar.
If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.
Otherwise click + New and give it a Name, such as "Unpaid Invoices."
Add the columns below from the Available panel.
Set Subtotal to Total or Balance Due depending on what you are checking.
Turn on All Outlets if you bill from more than one location.
Click Save, then Get Report to set a date range and run it.
Recommended Columns
Field | What It Shows |
Invoice | The invoice number to quote to a customer |
Invoice Status | Where the invoice stands — draft, posted, paid, voided. Check this before drawing conclusions from any total. |
Invoice Date, Due Date, Created Date | The three dates described above |
Customer Name, Cust Email, Cust Phone | Who was billed, and how to reach them |
Subtotal, Tax, Total | The invoice value |
Amount Paid | How much has been received against it |
Balance Due | What is still outstanding — the column to filter and subtotal for anything collections-related |
Tip | Any tip on the invoice, where you take them |
Invoice Auto Pay | Whether the invoice will be collected automatically. An unpaid invoice with AutoPay on may just not have run yet; one without it needs chasing. |
Cust Has Default Payment | Whether the customer has a saved payment method to charge |
Booking Type | The kind of booking behind the invoice |
Contract Start Date, Contract End Date | The contract period the invoice covers, on contracted stays |
Vessel Name, Vessel Registration, Vessel LOA | The boat the invoice relates to, on marina invoices |
User Display Name, User Email | Who generated the invoice |
Note: Include Invoice Status on any report you intend to total. Voided and draft invoices carry values but do not represent real receivables, and leaving them in will overstate both your billings and your outstanding balance.
Useful Filters
Overdue and unpaid: Field Balance Due operator > 0, And Due Date operator < today.
Overdue with no AutoPay: add Invoice Auto Pay set to No to the group above — this is the list that actually needs a phone call.
One billing run: Field Created Date, set to the date the run happened.
A period's billings: Field Invoice Date, operator Between, subtotalled on Total.
Still in draft: Field Invoice Status, set to your draft status — invoices that were created but never issued.
One customer's invoices: Field Customer Name, set to the customer.
Running the overdue-with-no-AutoPay filter weekly is the highest-value habit here — it is short, it is specific, and every row on it is a call worth making.
