Reports - Tracking Vessel Insurance

Every vessel record in Sharper can store its own insurance company, policy number, expiration date, agent contact, and whether a Certificate of Insurance (COI) and Additional Insured endorsement are on file. The Sharper Insurance Report is a saved custom report that pulls this data across all your vessels into one list, so you can see at a glance which customers are missing coverage documentation before it becomes a liability issue for the marina.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. For a full walkthrough of the reporting form itself, see the Sharper Reporting Reference Guide. This article only covers what's specific to insurance tracking.


Why This Report Matters

A vessel operating without valid insurance, or without your marina listed as an Additional Insured on the policy, is a liability exposure — if that vessel causes damage to a dock, another vessel, or a person, your marina may have no recourse against the owner's insurer. Reviewing this report regularly lets you catch and follow up on:

  • Policies that have already expired or are expiring soon

  • Vessels with no Certificate of Insurance on file (COI Received = No)

  • Vessels where the marina is not listed as an Additional Insured (Additional Insured = No)


Modifying the Existing Sharper Insurance Report

  1. Go to Reports → Marina → Vessels in the left sidebar.

  2. Find Sharper Insurance Report in the list and click the ⋯ menu → Edit (or click the report name, depending on your version).

  3. Use the Available and Selected column panels to add or remove fields — see the column table below for what each insurance-related field means.

  4. Click Save, then Get Report to add filters and run it.

RECOMENDED: If you'd rather not risk changing the shared report, use the ⋯ menu → Copy option first. This creates a duplicate you can freely modify without affecting the original for other users.


Building Your Own Insurance Report From Scratch

  1. Go to Reports → Marina → Vessels and click + New.

  2. Give it a Name, such as "Vessel Insurance Compliance."

  3. In the Available panel, add the columns listed in the table below to your Selected panel.

  4. Optionally turn on Dashboard so the report appears as a tile you can reach in one click, and enter a short Dashboard Caption like "Insurance Compliance."

  5. If you manage more than one outlet and want to see every location's vessels in one report, turn on All Outlets.

  6. Click Save, then Get Report to apply filters (see below) and run it.


Recommended Columns

These fields live in the Vessels column group of the Marina → Vessels report type:

Who to contact about a missing or expiring policy

Unit Name

The slip the vessel is currently assigned to

Vessel Registration

The vessel's registration number, for identifying which boat a row refers to

Insurance Company

The vessel owner's insurer

Insurance Policy Number

The policy on file

Insurance Expiration Date

When the current policy expires — this is the field to filter on for renewal follow-up

Insurance Agent Name, Insurance Agent Phone, Insurance Agent Email

Contact details for the owner's insurance agent, if you need to request updated proof of coverage directly

COI Received

Yes/No — whether a Certificate of Insurance has been collected and recorded for this vessel

Additional Insured

Yes/No — whether the marina is listed as an Additional Insured on the owner's policy

The Vessels column list also includes an Import Expiration Date field. This is a leftover value from data migrated in from a previous system and does not update as policies renew — don't use it for compliance filtering. Always filter and sort on Insurance Expiration Date instead.


Useful Filters

On the Report Run page (after clicking Get Report), add filter rows for the checks you want to run:

  • Expiring soon: Field Insurance Expiration Date, operator Between, entering today's date and a date 30 (or 60) days out.

  • Already expired: Field Insurance Expiration Date, operator < (before this date), entering today's date.

  • Missing a Certificate of Insurance: Field COI Received, set to No.

  • Marina not listed as Additional Insured: Field Additional Insured, set to No.

Put these in an Or group if you want one report that surfaces any vessel with a gap in any of these areas, or run them as separate saved reports if you'd rather review each issue on its own.
