Waitlist Deposit
Now accepting deposits for waitlist reservations, ensuring that your customers are committed to staying at your property.
Instructions
Navigate to Marina module from the navigation pane.
Select Reservations from the menu ribbon.
Click the drop-down arrow next to Add New button and select Advanced Reservation.
Select the Booking Period transient, seasonal, or long term.
Select the Product to create the reservation.
If the customer is existing, you can click Existing Vessel located next to the Search header. Enter the Customer Name and select the customer’s vessel.
Use the date picker to select the Date of the waitlist reservation.
Enter any required fields for the search criteria. This could be different for each product and is not limited to Length Overall, Beam, Draft, Height, and/or Weight.
Click the Advanced Search drop-down to view more reservation options.
Click the Waitlist toggle to turn this reservation into a waitlisted item.
Click the Search button to calculate pricing and constraints.
When adding a waitlist reservation only spaces which meet the vessels size constraints will appear for selection. If there are no restrictions on the product all spaces tied to the product will be available for selection.
Select the Space assignment. Spaces are located on bottom left-hand side under the price details.
Make any necessary adjustments to the pricing/rate plan, deposit and other charges.
Select appropriate Deposit Policy if different from the setup on the product.
Enter the Customer information for new customers. Display Name and Email are required customer fields. Click the Create New Account button.
Enter the customer Vessel information for new customers. Vessel Name and Boat type are defaulted required fields. Click the Create New Vessel button.
Enter any Comments related to the waitlist reservation.
Click Save.
Click the Deposit button to take the set deposit amount.
Auto-Settle
Automatically settling payments and overpayments for all reservation or POS invoices can be easily done with just a simple click of a button. This convenient feature is designed to save you valuable time and maximize the benefits of the auto-pay functionality.
Auto-Settle Settings
Open CRM → Payments search for the desired unsettled payment, by typing the customer name in the search box.
Alternatively, utilize the filter next to the search box to narrow down the search based on unsettled status, customer, and date.
Locate the unsettled payment, and click the Edit button.
Click Auto Settle Settings button to enable auto settlements.
Toggle on Auto Settle.
Select the settlement Type
All - Every customer’s open invoice will be settled to payment.
POS - Invoices that are generated in the Point of Sale will be settled to payment.
Reservation - Invoices created through customer reservations will be settled to payment.
Click the Save button on the payment.
The selected auto settlement type will be visible on the payment screen.
Auto Settle Unsettled Payments
Access CRM → Payments and search for the specific unsettled payment by entering the customer's name in the search box.
Alternatively, utilize the filter next to the search box to narrow down the search based on unsettled status, customer, and date.
Identify the unsettled payment and click
three dots.
Select the Auto Settle option.
Sharper will automatically settle the payment against any outstanding invoices.
Retain and Refund Enhancements
We have implemented a two-step refund process and added the capability to void retained invoices. You will also have the ability to initiate a refund within the reservation at any time, even in a closed accounting period. Sharper will handle all required adjustments.
Void Retain
From the reservation module (Marina, Campground, and/or Booking) select the reservation in question.
Open the Retain section of the Total Summary.
Click
three dots on the retained line.
Click Void.
Refund Status
We have improved the refund screen to provide visibility into the refund status and settled amounts, replicating the layout of the payment screen.
Credit Memo Settlements
Credit memo settlements can now be easily accessed with a simple click of a button. Take the time to review the settlements in order to confirm that all the correct invoices or refunds have been applied. To do this, simply click on the Settlements button located at the top right-hand corner where the action buttons are found on the Credit Memo screen CRM → Credit Memo → select Credit Memo → Settlements. You can also select the invoice or refund number to for a quick view.
Guest Checkout
To provide your customers with the option to check out as a guest online, they can bypass the process of setting up an account and logging in. However, there are prerequisites that need to be set up in order to enable this functionality.
Setup Guest Checkout
To enable guest check out, it's important to follow these steps:
Create a default "Guest" customer in CRM.
Ensure the House Account and Can Save Payment Method under Payment Settings are toggled off.
Go to Company Settings → Reservation Settings.
When using multiple outlets, it's important to ensure that you are in the correct outlet before enabling the company settings.
a. Turn on Allow Guest Checkout.
b. Choose the Guest Checkout Customer that was created in step one.
Click the Save button.
Now, customers have the option to book online using Sharper's plug-in as a guest. When viewing the reservation, their name will appear along with (guest). It's important to note that there won't be a customer account in CRM for these reservations. All transactions will be made to the default customer created in step 1.
Booking Reference
Add the ability to collect booking reference data from your customers. During checkout customers will be prompted to answer “How did you hear about us.”
Enable Booking Reference
Go to Company Settings → Reservation Settings.
When using multiple outlets, it's important to ensure that you are in the correct outlet before enabling the company settings.
Turn on Display Reference.
Click the Save button.
Now, customers are given the choice to indicate where they learned about your property at the time of checkout.
Hide Contract Versions
Gain efficiency by accessing only the latest contract versions and avoiding the need to scroll through outdated contracts.
Enable Booking Reference
Go to Company Settings → Reservation Settings.
When using multiple outlets, it's important to ensure that you are in the correct outlet before enabling the company settings.
Turn on Hide Old Contract Versions.
Click the Save button.
Contract Photos Enhanced
When capturing images using a mobile device, Sharper will now automatically choose the photo taken to include in the contract, when the image variable is in use on the template, eliminating the need to search through the image library and reducing the number of steps required.
Time Slots No-Rules
Users have the option to select "no-rules" in order to override the time slots and have the flexibility to choose any time, regardless of the pre-set time slots.
People Additions
When people are enabled in the booking type, they will be displayed on the reservation card. While checking your customers in you can verify the amount of people. In the Booking Type setting (Marina, Campground, or Bookings → Settings → Booking Type), you can also opt to include the number of adults and children selected.
