Introduction
This article explains how long-term reservation auto-extension works in the Marina module, how to identify and resolve extension errors using the extend error badge, and how to manually extend an active long-term reservation. It also addresses common issues with reservation refunds and advanced reservation payments.
Long-Term Reservation Auto-Extension
Long-term marina reservations can be configured to extend automatically on a regular schedule. A background job runs weekly to advance the end date of active long-term reservations by a configured number of days. If the system is unable to extend a reservation — for example, because the slip is unavailable for the new date range — the extension fails and an error is recorded on that reservation.
Extend Error Badge
When a long-term reservation fails to auto-extend, a red ! badge appears on the reservation's status chip in the Marina reservations list. This badge indicates that the most recent automatic extension attempt did not complete successfully.
Click the ! badge on the status chip, or open the reservation directly, to view the error message.
The error describes why the extension failed — for example: "Space A12 is not available for the extend date range."
The badge clears automatically after a successful Extend Stay is performed on the reservation.
Resolving Extension Errors
When a red ! badge appears on a long-term reservation, follow these steps to resolve it:
Open the affected reservation in the Marina module.
Review the error message to determine why the extension failed.
If the original slip is available for the extended period, select Extend Stay from the reservation status dropdown to manually advance the end date.
If the original slip is not available for the new period, you may need to move the vessel to an available slip before extending.
Once the manual Extend Stay completes successfully, the error badge is cleared.
After a successful manual Extend Stay, the automatic extension schedule resumes as normal — the weekly job will continue to extend the reservation on future cycles.
Extend Stay and Automatic Extensions
The Extend Stay option is available from the reservation status dropdown for long-term reservations in an active or billing status.
Performing a manual Extend Stay does not stop or disable the automatic extension schedule. The reservation will continue to be extended automatically by the weekly job on future cycles.
When using Extend Stay, the Departure Reason field is optional and does not need to be filled in to complete the action.
Reservation Refunds
Issue: Reservations may need to be refunded.
Solution: Process the refund using the refund workflow in the Marina module. If the reservation was paid through an advanced deposit, verify the deposit is correctly reversed before finalizing.
Advanced Reservation Payments
Issue: Reservations are not collecting payments as expected.
Solution: Verify the reservation is set to collect 100% payment and that advanced deposits are configured to move to income upon check-in. Review the product setup and deposit policy if the behavior is unexpected.
