Reports - Marina Vessels Report

Written by Andy Hornbeak

The Marina Vessels report is your boat inventory — every vessel on record, its dimensions, its owner, its insurance details, and the slip it is currently sitting in. Where most marina reports are built around reservations, this one is built around the boats themselves.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. For a full walkthrough of the reporting form itself, see the Sharper Reporting Reference Guide. This article only covers what's specific to the Vessels report.

Why This Report Matters

A marina's obligations follow the boat, not the booking. Insurance, dimensions, and registration all attach to the vessel, and they matter whether or not the boat currently has a live reservation. This report is where you review that data in bulk, which makes it the right tool for:

  • Insurance compliance — expiring policies, missing Certificates of Insurance (COI), and vessels where the marina is not named as Additional Insured

  • Checking that vessel dimensions are recorded, since length overall (LOA), beam, and draft are what determine which slips a boat can legally occupy

  • Building a haul-out or work list, where you need weights and dimensions before scheduling equipment

  • Auditing migrated data after a move from a previous system

What the Report Includes

Rows come from vessel records rather than reservations, which has two consequences worth understanding:

  • A vessel appears whether or not it has a current reservation. Boats that have left, or are booked for a future season, are still listed.

  • Unit Name is the slip the vessel is currently assigned to, and it is empty for a boat that is not in a slip right now.

Every vessel in this report is attached to a customer record. A vessel that has somehow been recorded without an owner will not appear at all. If you are auditing your boat inventory and the count looks short against what is physically in the water, ownerless vessel records are the first thing to check — the report cannot show you what it cannot tie to a customer.

Building a Vessels Report

  1. Go to Reports → Marina → Vessels in the left sidebar.

  2. If a shipped report is close to what you need — the Sharper Insurance Report lives here — use the ⋯ menu → Copy first, since shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Vessel Inventory."

  4. Add the columns below from the Available panel.

  5. Optionally turn on Dashboard with a short Dashboard Caption.

  6. Click Save, then Get Report to run it.

Recommended Columns

Field

What It Shows

Vessel Name, Vessel Registration

How the boat is identified, on the transom and on paper

Vessel Type, Vessel Make, Vessel Model, Vessel Year

What kind of boat it is

Vessel LOA, Vessel Beam, Vessel Draft

Length overall, width at the widest point, and depth below the waterline — the three measurements that decide slip fit

Vessel Weight, Vessel Height

Needed for haul-out, lift capacity, and covered storage clearance

Vessel Hull Color, Vessel Serial Number

Identifying detail for a boat whose name is not visible

Vessel Trailer Tag Number, Vessel Trailer Description

The trailer on record, for dry storage and launch operations

Customer Name, Cust Email, Cust Phone

Who owns the boat and how to reach them

Unit Name, Group Name

The slip the vessel is currently in and its dock. Empty when the boat is not in a slip.

Max LOA, Max Beam, Max Draft, Max Weight, Max Height

The limits of the slip the boat is in — put these beside the vessel dimensions to spot a boat that is too big for its berth

Insurance Company, Insurance Policy Number, Insurance Expiration Date

The policy on file and when it lapses

Insurance Agent Name, Insurance Agent Phone, Insurance Agent Email

Who to contact for updated proof of coverage

COI Received, Additional Insured

Yes/No — whether a Certificate of Insurance is on file, and whether the marina is named on the policy

Is Fully Imported

Whether a migrated vessel record has been completed since import — useful for working through data cleanup after a system change

The column list also includes an Import Expiration Date field. This is a leftover value from data migrated in from a previous system and does not update as policies renew — don't use it for compliance filtering. Always filter and sort on Insurance Expiration Date instead.

Useful Filters

On the Report Run page (after clicking Get Report), add filter rows for the check you want:

  • Policies expiring soon: Field Insurance Expiration Date, operator Between, entering today's date and a date 30 or 60 days out.

  • Already expired: Field Insurance Expiration Date, operator <, entering today's date.

  • Missing paperwork: Field COI Received set to No, or Additional Insured set to No, in an Or group.

  • Boats currently in the water: Field Unit Name, set to is not empty.

  • Missing dimensions: Field Vessel LOA, set to is empty — these records cannot be checked against slip limits.

  • Large vessels only: Field Vessel LOA, operator >, entering a length that is big for your marina.

If your main use for this report is insurance compliance, the shipped Sharper Insurance Report already has the right columns selected — start from a copy of it rather than building from scratch.
