The Marina Reservations report is the general-purpose list of bookings — one row per reservation, with the customer, the vessel, the slip, the dates, the rate, and the status all available as columns. If you are not sure which marina report you need, this is usually the one to start from.
This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. For a full walkthrough of the reporting form itself, see the Sharper Reporting Reference Guide. This article only covers what's specific to the Reservations report.
Why This Report Matters
Most day-to-day questions about the marina are reservation questions: who is arriving, who is overdue to leave, which bookings were cancelled and why, what a customer was quoted. Because it carries the widest column list of any marina report, Reservations is the one to reach for when you need to:
Build arrivals and departures lists for the front desk
Review cancellations, with reasons, over a period
Pull a contact list for everyone booked into a given season or dock
Check where reservations are coming from, using referral reasons
Cross-check rates and invoicing against what was actually booked
Reservations, Rent Roll, or Occupancy?
These three cover overlapping ground and are the most commonly confused reports in the marina module:
Report | Use it when you want |
Marina Reservations | One row per booking, over any date range — including past, future, and cancelled ones |
Marina Rent Roll | The marina as it stands today, including empty slips and what they could earn |
Marina Occupancy | Occupancy percentage and average daily rate over a period, calculated per slip per day |
Reservations is the only one of the three that will show you a booking that has not started yet, or one that was cancelled.
Building a Reservations Report
Go to Reports → Marina → Reservations in the left sidebar.
If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.
Otherwise click + New and give it a Name, such as "Arrivals This Week."
Add the columns below. The Available list here is long — select the handful you actually need rather than everything, or the report becomes hard to read.
Optionally turn on Dashboard with a short Dashboard Caption for lists you run daily.
Click Save, then Get Report to set a date range and run it.
Recommended Columns
Field | What It Shows |
Reservation Reference | The booking reference to quote to a customer |
Arrival Date, Departure Date | When the stay is booked to run |
Checked In Date, Checked Out Date | When it actually happened. Compare against the booked dates to find guests still on the dock past their departure. |
Arrival Day Name | The weekday of arrival — useful for spotting demand patterns |
Reservation Status, Reservation Custom Status | Where the booking stands, including any custom statuses your marina has set up |
Customer Name, Cust Email, Cust Phone | Who booked, and how to reach them |
Vessel Name, Vessel Registration, Vessel LOA, Vessel Beam | The boat and the dimensions that determine where it can go |
Unit Name, Group Name | The slip assigned and its dock |
Adults, Children | Party size, where you record it |
Rate Plan Name, Rate Type | The rate applied, and whether it was the product rate or a fixed override |
Subtotal, Tax, Total | The booking value |
Curr Price Monthly, Curr Price Annual | The rate normalized to a monthly or annual equivalent, for comparing stays of different lengths |
Invoicing Frequency, Prev Invoice Date, Next Invoice Date | How and when the reservation bills |
Has Auto Pay | Whether payment is collected automatically |
Cancellation Date, Cancellation Reason | When and why a booking was cancelled |
Referral Reason, Departure Reason | How the customer found you, and why they left — the raw material for retention work |
Contract Expiration Date | When the underlying contract runs out, for renewals |
Internal Note, External Note | Notes on the booking. Internal notes are staff-only; external notes may be visible to the customer. |
Created Date, Created Week | When the booking was taken — use this to measure booking pace rather than stay dates |
Is Extra Charge | Whether the row is an add-on charge rather than the base booking — see the warning below |
As with the Rent Roll, extra charges appear as additional rows on the same reservation, marked Is Extra Charge = Yes. A booking with two add-ons appears three times, so a row count will overstate your booking numbers and a sum of Total will mix base rent with extras. Add a filter for Is Extra Charge = No whenever you are counting reservations or totalling slip revenue.
Note: There are two sets of customer columns. Customer Name and its related fields are the account the reservation belongs to; the Res Cust fields are the guest details captured on the booking itself, which can differ when someone books on another person's behalf. Use the plain Customer fields unless you specifically want the guest.
Useful Filters
Today's arrivals: Field Arrival Date, set to today, with Is Extra Charge = No.
Overstays: Field Departure Date operator < today, and Checked Out Date set to is empty.
Cancellations in a period: Field Cancellation Date, operator Between, covering the period.
Never checked in: Field Checked In Date set to is empty, with an arrival date in the past.
One dock's bookings: Field Group Name, set to the group.
Bookings taken last week: Field Created Date, operator Between, covering the week.
Contracts to renew: Field Contract Expiration Date, operator Between, today to 90 days out.
Arrivals and departures lists are worth saving with Dashboard switched on, since they are run every morning and the dashboard tile saves rebuilding the filters each time.
