Reports - CRM Customer List Report

The Customer List report is your customer database as a report — contact details, customer type, saved payment method, when they last stayed with each part of your operation, and what they currently owe, broken into aging buckets. It is the starting point for most mailing lists, collections lists, and customer audits.

This article assumes you already know the basics of the Sharper reporting module — the Name, Token, Subtotal, column picker, and filter fields. Why This Report Matters

One row per customer, with balance and last-stay information side by side, is a combination nothing else in Sharper offers. That makes this the natural report for:

  • Building a marketing list, with the do-not-email flag respected

  • Finding customers who have not returned for a season, for a win-back campaign

  • Producing an aged debtors summary — one line per customer rather than per transaction

  • Identifying customers with no saved payment method, ahead of an AutoPay push


The Balance Columns

Each customer's balance is split across aging buckets, calculated as of the moment you run the report and based on when items fell due:

Overdue by up to 30 days, 31-60, and 61-90 respectively

Over 90 Day Balance

Overdue by more than 90 days — your worst debt

Current Balance does not mean "the current total." It means "not yet due." A customer whose whole balance sits in Current is entirely up to date and should not appear on a collections list. The total the customer owes is the Balance column. Reading Current as the running total is the most common misinterpretation of this report.

Building a Customer List Report

  1. Go to Reports → CRM → Customer List in the left sidebar.

  2. If a shipped report is close to what you need, use the ⋯ menu → Copy first — shipped reports can only be edited by the Sharper team.

  3. Otherwise click + New and give it a Name, such as "Marketing List" or "Aged Debtors."

  4. Add the columns below from the Available panel.

  5. Set Subtotal to Balance if you are producing a debtors report.

  6. Turn on All Outlets if a customer may hold a balance at more than one location.

  7. Click Save, then Get Report to run it.

When the customer last stayed with each part of your operation. These three are what make win-back and lapsed-customer lists possible.

Balance and the aging buckets

As described above

Note: The three "last" columns are separate per module. A customer who comes to the marina every summer but has never camped will have a recent Cust Last Marina and an empty Cust Last Campground — that empty value means "never", not "lapsed". Filter on the module you actually care about.


Useful Filters

  • A safe mailing list: Field Cust Do Not Email set to No, And Cust Email set to is not empty, And Cust Active set to Yes.

  • Lapsed marina customers: Field Cust Last Marina, operator <, entering a date a year or two back.

  • Aged debtors: Field Balance, operator >, value 0, sorted by Over 90 Day Balance descending.

  • Seriously overdue only: Field Over 90 Day Balance, operator >, value 0.

  • AutoPay campaign targets: Field Cust Has Default Payment set to No, And Cust Active set to Yes.

  • Debtors you can charge immediately: Balance greater than 0 And Cust Has Default Payment set to Yes.

Keeping the do-not-email filter permanently in your saved marketing report, rather than remembering to add it each time, is the simplest way to avoid emailing someone who has asked you not to.
