Marina - Sending E-Sign Contracts

Whether a reservation has just been created or a renewal e-sign contract needs to be sent for the next lease period, this guide will outline the process of sending out e-sign contracts out of the Campground, Marina, and Booking modules.

New Reservations

After successfully saving a new reservation, the subsequent steps can be executed promptly.

  1. While in the reservation’s summary screen, click the blue Edit button at the top right-hand corner of the summary card.

  2. Click Contracts using the ribbon at the top right.

  3. Select Add New Contract and select the contract you wish to send out.

  4. This pulls up the contract, here is the functionality of each field:

Email Address

This is the email tied to the customer. If there is no email here, update the customer’s email first.

Expiration Date

If your contracts require an expiration date put one here. This is the field that will be pulled in Contract Expiration reports.

Email Toggle

Emails a copy of the current contract version being looked at after hitting Save. This will not have e-sign functionality. Think of it as if the customer wants another copy of what they’ve signed.

E-Sign Toggle

After hitting Save, sends customer an e-sign document where they can complete the contract.

Print Toggle

Prints the contract after hitting Save.

  1. Turn the E-Sign toggle on.

  2. Select Save and Close and this will perform whatever the toggle(s) are selected.

  3. Repeat steps for any other contracts. I.e. live aboard contract, pet contract, safety contract, etc.

If it does not let you Save and Close then there are fields required by the marina to be completed before being sent out. This could be an expiration date, signature box, etc. These boxes will highlight red for you.

Existing Reservations

For existing reservations that are renewing into the next year’s lease period.

  1. Using the navigation panel on the left, select the module the reservation is in. If it is a marina reservation select Marina. If it is a campground reservation select Campground.

  2. Search for the reservation by the customer’s name or space name.

  3. After entering the reservation, select Contracts using the ribbon at the top right.

  4. Select Add New Contract and select the contract that needs to be sent.

  5. Turn E-Sign Toggle on.

  6. Click Save and Close.

If it does not let you Save and Close then there are fields required by the marina to be completed before being sent out. This could be an expiration date, signature box, etc. These boxes will highlight red for you.

Booking Contracts

Sending contracts for you boat rentals, hotel room, cabins, and so on can be done in the exact same way as the steps above except you will be in the Booking module when doing so. Currently, there is a way to automatically send contracts to Booking reservations a predetermined amount of days before arrival by utilizing custom statuses.
